Uploading Custom Voice Prompts on Yeastar P-Series Cloud Edition

Introduction

Custom voice prompts are audio recordings used in your IVR menus, ring group announcements, hold music, and more. This guide covers uploading and managing them correctly.

Audio file requirements

Yeastar P-Series Cloud Edition requires a specific audio format. Files in the wrong format will be rejected or sound distorted.

Converting audio with Audacity (free)

  1. Download and open Audacity.
  2. Open your audio file (MP3, M4A, or existing WAV).
  3. Tracks > Stereo to Mono if the file is stereo.
  4. Tracks > Resample → set to 8000 Hz.
  5. File > Export > Export as WAV → set encoding to 16-bit PCM.

PBX Settings > Voice Prompt > Custom Prompts

Uploading a prompt

  1. Go to PBX Settings > Voice Prompt > Custom Prompts.
  2. Click Upload.
  3. Select your converted WAV file.
  4. Enter a clear, descriptive name (e.g. main-menu-greeting, out-of-hours-message, on-hold-music).
  5. Click Upload.

The file appears in the prompt list and is immediately available to use in IVR, ring groups, and other features.

Using prompts in your system

Editing or replacing a prompt

You cannot edit a prompt file in the portal — you must delete it and upload a new version:
1. Find the prompt in the list.
2. Click Delete.
3. Upload the corrected file with the same name.

Tips

  • Name prompts clearly so you can find them easily when setting up IVRs later (e.g. ivr-main-greeting, ivr-oos-message, hold-music-classical).
  • Record greetings in a quiet room, close to the microphone, and at a natural speaking pace.
  • A professional voiceover service produces the best results for client-facing systems — ask X2Comms for recommendations.
  • The System Prompt language can be changed under PBX Settings > Voice Prompt > System Prompt — select English (United Kingdom) for a UK English system voice.
