Understanding User Roles and Permissions on Yeastar P-Series Cloud Edition

Introduction
Yeastar P-Series Cloud Edition has a role-based access system. Different users get different levels of access to the admin portal — from full admin rights to read-only CDR access. Understanding roles prevents accidental changes and keeps your system secure.
The three built-in roles
Admin
Full access to all settings. Can create and delete extensions, trunks, routing rules, and system settings. Should be limited to IT administrators or X2Comms support staff.
Operator
Access to day-to-day operational tasks without access to critical system settings. Operators can:
- View extension status and make changes to individual extensions
- Access call logs and recordings
- Add/remove ring group members
- Cannot change trunks, outbound routes, or system-level settings
User
Standard access. Users can:
- Log into the Linkus app (this is the role assigned to most staff)
- Access their own voicemail, call history, and contacts
- Cannot access the admin portal web interface at all
Assigning a role to a user
- Go to Extension and Trunk > Extension and click the extension to edit.
- Under User Information, find the User Role dropdown.
- Select Admin, Operator, or User.
- Click Save and Apply.
Creating custom roles
For more granular control:
1. Go to System > User Permission.
2. Click Add to create a new role.
3. Name the role and tick the specific permissions it should have.
4. Assign the custom role to extensions via their User Information.
Best practices
- Most staff should have the User role — they only need Linkus access.
- Operators are useful for receptionists or office managers who need to adjust ring groups or pull call recordings without full admin access.
- Limit the number of Admin accounts. Every Admin account is a potential security risk if the password is weak or shared.
- Change the admin password if an admin-level employee leaves the company.
Summary
Assign the User role to all standard staff, Operator to office managers who need limited admin tasks, and Admin only to IT staff and X2Comms support. Review role assignments whenever staff change roles or leave.
