Backing Up and Restoring Your Yeastar P-Series Cloud PBX

Introduction
A PBX backup saves all your configuration — extensions, trunks, routing rules, IVRs, ring groups, time conditions, and settings — to a file you can download. If something goes wrong (accidental deletion, configuration error, or system migration), you can restore from backup and be back to normal in minutes.
What is backed up
- All extension and user settings
- Trunk configurations
- Inbound and outbound routes
- Ring groups, IVRs, queues, time conditions
- System settings (SMTP, feature codes, etc.)
- Voice prompts (custom audio files)
Note: Call recordings and CDR logs are NOT included in a standard configuration backup — these are stored separately and managed under Reports.
Creating a backup
Manual backup
- Go to System > Backup and Restore.
- Click Backup Now.
- The system creates a backup file (format:
.tar.gz). - Once complete, click Download to save the file to your computer.
Store the backup file somewhere safe — cloud storage, a shared drive, or your own computer.
Scheduled automatic backups
- Go to System > Backup and Restore > Auto Backup.
- Enable Auto Backup.
- Set the frequency (daily or weekly) and time.
- Choose whether to keep backups locally on the PBX, or have them emailed/uploaded to an FTP server.
- Set Max Backup Files to avoid filling storage (e.g. keep the last 7 backups).
Restoring from a backup
- Go to System > Backup and Restore.
- If restoring a downloaded file: click Upload and select your
.tar.gzfile. - Find the backup in the list and click Restore.
- Confirm the restore — the PBX restarts and applies the configuration.
- After the restart, verify extensions and trunks are working.
Warning: Restoring a backup overwrites ALL current configuration. Any changes made after the backup was taken will be lost.
Best practice: backup before making changes
Before making significant changes (new trunk, major routing changes, firmware update), create a manual backup first. If something goes wrong, you can restore in under 5 minutes.
Tips
- Download a backup at least monthly and store it off-site (not just on the PBX itself).
- After your initial go-live configuration is complete, create a "baseline" backup and keep it permanently — useful if you ever want to start fresh.
- X2Comms also maintains backups of customer systems. Contact us if you need to roll back to a previous configuration.
Summary
Regular backups protect your PBX configuration. Download manually before any major change, and enable auto-backup for ongoing protection. Restore takes less than 5 minutes.
