Configuring Ring Group Overflow on Yeastar P-Series Cloud Edition
Rather not do this yourself?
X2Comms Managed Edition customers don't need this guide — we handle all configuration and system changes as part of the service. Not yet with X2Comms? We deploy and fully configure Yeastar systems from day one. Call 03301025678 to find out more.
Introduction
If nobody in a ring group answers within the ring timeout, the call needs somewhere to go — this is the overflow or failover destination. Without one configured, unanswered calls simply disconnect. This guide covers setting overflow destinations and the options available.
What is ring group overflow?
When a ring group's timer expires (e.g. after 30 seconds of ringing), the call is passed to the Failover Destination. This is your overflow.
Configuring the failover destination
- Go to Call Features > Ring Group and click the ring group to edit.
- Scroll to the Call Routing section.
- Find Failover Destination — click the dropdown and choose:
| Destination | Best for |
|---|---|
| Voicemail (of a specific extension) | Small teams — callers leave a message |
| IVR | Replay the main menu so callers can try another option |
| Extension | Route to a manager or personal mobile |
| Ring Group | Escalate to a second-line team |
| External Number | Route to a mobile (uses SIP trunk channels) |
| Voicemail Group | Shared mailbox visible to the whole team |
- Click Save and Apply.
No Extension Online destination
Separately, you can set where calls go if all ring group members are offline (phones not registered, Linkus disconnected):
- In the same ring group settings, find No Extension Online Destination.
- Set this to voicemail or an external mobile — something that will always answer.
- Click Save and Apply.
This prevents calls going unanswered just because the whole team is offline (e.g. outside business hours, if time conditions aren't set up).
Example overflow strategies
Small support team (2 people):
- Ring timeout: 30 seconds
- Failover: Support team shared voicemail
- No Extension Online: Manager's mobile
Sales team:
- Ring timeout: 20 seconds
- Failover: IVR (gives caller chance to leave a message or try another option)
- No Extension Online: Out-of-hours IVR message
Tips
- Test the failover by letting calls ring through without answering — confirm the call reaches the failover destination after exactly the timeout period.
- If your failover is an external mobile, ensure the outbound route allows this call type and that channel capacity allows for it.
- For busy teams, consider a Queue instead of a ring group — queues hold callers with hold music and a position announcement, rather than going straight to voicemail.
Summary
Set the Failover Destination to voicemail or another route so unanswered calls don't just disconnect. Also set the No Extension Online destination as a safety net for when the team is offline.
