edit extension manage users reset password voicemail PIN

Introduction

After creating extensions, you'll regularly need to edit them — change names, reset passwords, update email addresses, or enable/disable features. This guide covers the most common extension management tasks.

Menu path

Extension and Trunk > Extension — click any extension to edit it.

Changing user details

  1. Go to Extension and Trunk > Extension and click the extension.
  2. Under User Information, update the fields you need to change (name, email, mobile number).
  3. Click Save and Apply.

Resetting a user's Linkus password

The Linkus app login password is the User Password field under User Information.

  1. Edit the extension.
  2. Click the eye icon next to User Password to see the current password, or type a new one.
  3. Click Save and Apply.
  4. Inform the user of their new password.

Resetting a SIP registration password

If an IP phone stops registering after a network change, the SIP password may need to be regenerated:

  1. Edit the extension.
  2. Under Extension Information, click Generate next to Registration Password to create a new one.
  3. Note the new password.
  4. Update the IP phone with the new password (see the IP phone registration guide).
  5. Click Save and Apply.

Resetting a voicemail PIN

  1. Edit the extension.
  2. Click the Voicemail tab.
  3. Update the Voicemail Password field.
  4. Click Save and Apply.

Enabling or disabling an extension

To temporarily disable a user (e.g. an employee who has left):
1. Edit the extension.
2. Under Extension Information, toggle Extension Status to Disabled.
3. Click Save and Apply.

The extension will no longer register or receive calls. Re-enable it the same way when needed.

Deleting an extension

  1. Go to Extension and Trunk > Extension.
  2. Tick the checkbox next to the extension.
  3. Click Delete and confirm.

Warning: Deleting an extension also removes its voicemail messages and call history. Export any records you need first via Reports > CDR.

Tips

  • You can edit multiple extensions' common settings (e.g. enabling call recording for a group) by selecting several checkboxes and using the Bulk Edit option.
  • Changes only apply after clicking Save and Apply — the orange banner at the top of the page.

Summary

You can now manage all aspects of a user's extension — from credentials to call settings. Always click Save and Apply after making changes.
