Setting a Custom Voicemail Greeting on Yeastar P-Series Cloud Edition

Introduction

By default, callers who reach your voicemail hear a system-generated message that states your extension number — impersonal and unhelpful. Setting a personal greeting creates a professional impression and lets callers know they've reached the right person.

Option 1 — Record from your phone (quickest)

1. From your extension, dial *97.
2. Enter your voicemail PIN.
3. Press 0 for Mailbox Options.
4. Press 1 to Record your Unavailable greeting (the greeting played when you don't answer).
5. Wait for the beep and record your message.
6. Press # when finished.
7. Press 1 to listen back, 2 to re-record, or 3 to save.

Example greeting:

"Hi, you've reached [Name] at X2Comms. I'm unable to take your call right now. Please leave your name and number after the tone and I'll call you back as soon as possible. Thank you."

Option 2 — Upload a pre-recorded file (admin portal)

For a polished recording done in a studio or with audio software:

1. Prepare your WAV file: 8kHz, 16-bit, mono (see the Voice Prompts guide for format details).
2. In the admin portal, go to Extension and Trunk > Extension and edit the extension.
3. Click the Voicemail tab.
4. Under Voicemail Greetings, click Upload and select your WAV file.
5. Click Save and Apply.

Greeting types

Setting a temporary out-of-office greeting

1. Dial *97 and press 0 for Mailbox Options.
2. Press 3 to record a Temporary Greeting.
3. Record your out-of-office message.
4. This greeting plays until you remove it by pressing 0 > 4 > Remove Temporary Greeting.

Tips

• Speak slowly and clearly — voicemail audio quality is compressed.
• Include your name, the company name, and when you expect to be able to call back.
• Re-record your temporary greeting every time you go on holiday — don't leave an "I'm on holiday until the 14th" message playing in March.

Summary

Record a personal greeting from your phone (*97 > 0 > 1) or upload a WAV file via the admin portal. Always remove temporary greetings when you return from leave.
