Setting Up Voicemail on Yeastar P-Series Cloud Edition

voicemail setup PIN messages email notification

Introduction

Every extension on Yeastar P-Series Cloud Edition can have its own voicemail box. Callers who don't get an answer hear a greeting and can leave a message. Voicemail messages can be delivered to the user's email inbox as audio attachments.

Enabling voicemail on an extension

Voicemail is enabled per extension:

  1. Go to Extension and Trunk > Extension and click the extension to edit it.
  2. Click the Voicemail tab.
  3. Toggle Enable Voicemail to on.
  4. Set the Voicemail Password — a 4–8 digit PIN the user enters when accessing messages by phone.
  5. Under Notification, choose how the user is alerted to new messages:
  6. Email Notification — sends an email with the voicemail as a WAV attachment
  7. IP Phone Notification — lights up the message waiting indicator (MWI) on the desk phone
  8. Linkus Client Notification — shows a notification in the Linkus app
  9. If email notification is enabled, confirm the user's Email Address is set in the User Information section.
  10. Click Save and Apply.

How users access voicemail

By phone:
- From their own extension: dial *97
- From any other extension: dial *98, then enter the extension number when prompted

Via Linkus app:
- Open Linkus and tap the Voicemail tab — messages are listed and playable directly.

By email:
- If email notification is enabled, new messages arrive as WAV file attachments.

Recording a personal greeting

Users can record their own greeting by dialling *97 from their phone and following the voicemail menu prompts. Alternatively, an admin can upload a WAV greeting:

  1. Edit the extension.
  2. Go to the Voicemail tab.
  3. Under Voicemail Greetings, upload a WAV file (8kHz, 16-bit mono).

Global voicemail settings

System-wide voicemail settings are in PBX Settings > Voicemail:

Setting Description
Max Message Duration Maximum length of a voicemail message (1–15 minutes, default 10 minutes)
Mailbox Capacity Maximum number of stored messages per mailbox (1–500, default 100)
Email Notification Global email template for voicemail notifications

Tips

  • Set a personal greeting immediately — the default system greeting gives out the extension number, which sounds impersonal to callers.
  • The message waiting indicator (MWI) lamp on Yealink phones lights up red when there is a new voicemail.
  • If a user's mailbox is full, callers cannot leave messages. Remind users to clear old messages regularly, or increase the mailbox capacity.

Summary

Voicemail is active on the extension. New messages are delivered by email and are accessible by dialling *97 from the user's phone or via the Linkus app.
